In the day view each appointment comes down to three taps: arrived, started, ended. From those, OnTime shows how many people are in the waiting room and how many minutes each agenda is running behind.

Three taps per visit

  1. Start waiting

    When the client walks in. The card turns amber and the arrival time is kept.

  2. Start appointment

    When they go in. The card turns blue.

  3. End appointment

    When they leave. The card turns green and the price of the services counts towards the day's revenue.

Forgot a tap? Open the visit timeline and correct the arrival, start or end time afterwards. The dashboard uses the corrected times.

Two numbers at the top of each agenda

Each column shows the people waiting, meaning clients who have arrived and not yet gone in, and the offset: how many minutes past its planned time the earliest unfinished appointment is. In plain terms, how late you are. It refreshes every minute.

At the front desk of a practice with three doctors, that lets the receptionist tell a patient that Dr Diallo is running about 25 minutes late, without knocking on the door to ask.

No kiosk, no tickets

Queue systems sell ticket machines and screens. This runs in the browser of the reception computer, a tablet or a phone. The other side of that is that clients don't see the queue. It's a tool for you and your team, not a display for the waiting area.

Clients without an appointment

There's no separate walk-in queue. You add the client as an appointment for now, even outside opening hours. If the time is already taken, OnTime says so and lets you book it anyway.

On a shared team agenda, starting the appointment asks who takes the client and shows which colleagues are already with someone.

What the day tells you afterwards

Because arrival and start times are recorded, the dashboard can show the average wait, the number of people waiting hour by hour, and how many appointments started more than five minutes late. Marking a client as a no-show clears the visit and its revenue, and feeds your no-show rate.
